League Organiser Guide
Everything you need to set up a darts league, keep it running and help new players find it. Tap a heading to open it.
1. Setting up a new league
Step 1 — Sign in
- Go to flightchalker.co.uk/admin, or tap Run a League on your dashboard.
- Sign in with your normal Flight Chalker account (email and password, or Google). No account yet? Create a free one first at Join.
Step 2 — Create the league
- On the My Leagues screen choose Create New League (you'll be taken straight there if you came from a "Create a League" button).
- Fill in the details:
- League name — it must be unique on the site.
- County and Town / City — required, so players nearby can find you.
- About the league — optional short description (up to 1,000 characters).
- Start time and Match night — used for calendar entries.
- Fix team names — tick this if captains should choose their team from a list you set (for example pub or club names) instead of typing their own.
- Match format — number of singles and doubles, whether there's a team game, starting scores, best-of legs, and the points for a win, draw and loss.
- Helper password — optional, only if you want a co-organiser to log in without their own account (see section 5).
- Press Create League. You'll get a registration code (8 letters/numbers). Give this to your team captains so they can register their teams.
- Press Open this league → to start managing it.
Step 3 — Add your teams
There are two ways teams join, depending on whether you fixed the team names:
- Captains register themselves. Send them your registration code. They register on the Flight Chalker home page and their team appears under Manage Teams.
- Fixed team names. Add your teams and captains in Captain Contacts (type them in, or import an Excel / CSV file; a template is provided). Captains then claim their team, and you approve each request under Team Claim Requests.
Open Manage Teams on your league to see every team, its PIN, and its home venue.
Step 4 — Set each team's home venue
- Open Manage Teams.
- Under each team, enter the Home venue name and address, then save. Use Check map ↗ to confirm Google Maps finds it.
A fixture's venue is simply the home team's venue, so you never enter it per match. Players see the venue with a Directions link that opens Google Maps in a new tab.
Step 5 — Add your fixtures
Go to the Fixtures tab. You can import the whole season at once, or add matches one at a time.
Importing a spreadsheet
- Press Download Template and fill it in. Team names must match your registered teams exactly.
- Choose the league under Import to League, then Upload Fixture List (.xlsx, .xls or .csv).
- You'll see a summary of what will be added or changed. Confirm to apply it.
Adding one fixture — use Add Single Fixture: pick the league, season, date, home team and away team.
Step 6 — Tell everyone
- Captains and players can see the league table, fixtures and top scorers on the public league page.
- Post a message with the Notices tab (see section 2).
- Players can add fixtures to their phone or Google Calendar from the fixtures page (section 2).
2. Managing your league day to day
Finding your leagues
Your dashboard shows a Your Leagues panel with every league you run. Press Manage → to open one. A badge on Enquiries shows how many new player enquiries are waiting. You can also go to /admin any time. Inside a league, ← My Leagues switches to another.
Teams, PINs and captains
- Manage Teams lists every team with its PIN. Captains use the PIN to record results for their team.
- Players can request to join a team. Approve or reject these under the team.
- If a team wants a new captain, the request appears under the team for you to approve or reject.
- You can remove a team from the same panel.
Captain Contacts, invitations and bulletins
Captain Contacts is your address book of team captains, only visible to you.
- Import from Excel or add contacts one at a time (team, captain name, email).
- Invite to Register opens an email to all captains with your registration code.
- Send Bulletin opens an email to all captains, for fixture changes, results round-ups and announcements.
Fixtures: changing and checking them
- The Existing Fixtures list on the Fixtures tab shows every fixture with its home venue and a Directions link. Pick a league to filter it.
- To fix a date or a team, upload a corrected spreadsheet. It updates the matching fixture rather than creating a duplicate.
Notices
Use the 📢 Notices tab to post a message to your league (for example "Fixture moved to Thursday"). Players see it on the league page. Choose the league, write the notice and post it. You can delete old ones.
Sharing fixtures to calendars
On the fixtures page, players and captains can:
- Download a calendar file (.ics) for all upcoming fixtures. It opens in Google Calendar, Apple Calendar, Outlook and others.
- Share it using their phone's share menu, e.g. send it to the team WhatsApp group. People who aren't on Flight Chalker can still use it.
- Add a single match to Google Calendar with the 📅 link on that fixture.
Each entry includes the opponent, date, start time (from your league's start time), the venue, and a Directions link.
3. Editing your league
Change league settings
- Open the league, then on the Leagues (or My League) tab press ✎ Edit.
- Change anything: name, match night, start time, match format, scoring, or fixed team names.
- Press Save.
Change location, description and directory listing
In the same Edit panel, scroll to Public Directory Profile:
- County and Town / City
- Looking for — new players, new teams, both, or not recruiting. This shows as a badge in the league list.
- About the league — your description.
- List this league in the public directory — untick to hide the league from the All Leagues list.
- Allow people to send enquiries to me — untick to remove the enquiry form.
Start a new season
When a season finishes, press 🗓 Start New Season on your league. A short checklist asks whether anything has changed before the new season begins:
- Teams. Have any teams been promoted, relegated, left, or joined? You can Move a team to another league you run (promotion or relegation), or Remove a team that has left. New teams register with your league's registration code, which is shown on this step.
- League settings. Check the match night, start time, format and points. Press Change settings if anything needs updating.
- Confirm. Tick the box and press Start Season.
The league table, top scorers and match recording start fresh. Earlier seasons stay available through the season selector, and teams keep their PINs, captains and players. Afterwards you're taken straight to the fixture import, already set to the new season.
Rename a team's home venue, or fix a venue address
Open Manage Teams, change the venue name or address under the team and save. Every fixture hosted by that team updates automatically.
4. Helping players find your league
How the directory works
The All Leagues page on the home page lets people filter by county, then town or city, search by name, and tick only leagues looking for players or teams. Your league appears there once it has a location and is listed.
Answering enquiries
- Open the ✉️ Enquiries tab (a badge shows how many are new).
- Choose your league. Each message shows the person's name, email and message.
- Press Reply by email to answer from your own email app.
- Press Mark handled when done, or Delete to remove it.
5. Accounts, sharing access and getting help
Letting a co-organiser help (helper password)
If a secretary or co-organiser needs to manage the league without their own account, press 🔑 Helper password on your league and set a password (at least 6 characters). They open the admin page and choose League helper? Log in with a league name + password, then enter the league's exact name and that password. Leave the password blank to switch this off.
I have an older league created before accounts
Sign in, then on My Leagues choose Add an existing league, enter the league's name and its old password, and the league is added to your account.
Google sign-in or login problems
- Use the same sign-in method every time (Google or email and password).
- If your league isn't listed, check you're signed into the right account. Your email shows at the top of your dashboard.
- If you see "Session expired", log out and back in.
Something not working?
Take a screenshot including the address bar and any error message, and send it to the Flight Chalker administrator. Site administrators can open any league to help troubleshoot.
